Veterinary data import and export: report, download, transfer
PetGrid's veterinary data import and export brings your clients, pets, visits and vaccines in from your old system, and lets you report, download and transfer your clinic's data whenever you need to.
Your data is yours: every report is a CSV, the whole clinic is one ZIP, and an owner's records can move to another clinic with their say-so.
How it works
How it works, step by step
Bring your data in
Upload your clients and pets file, match its columns, read the preview and confirm. Then add visit and vaccine history, or let the AI read old PDFs and photos for your staff to review.
Report
Download any report as a CSV, and the QuickBooks Online or Xero files for your accountant.
Download everything
An admin downloads the whole clinic as one ZIP at any time, after confirming their identity.
Transfer records
When an owner asks, approve the transfer: a PetGrid clinic gets the records in its inbox, any other clinic an email link for 14 days.
What you can do
What you can do with it
Import clients and pets from an Excel or CSV file, matching your columns to PetGrid's, then visit history and vaccine history from CSV. PetGrid also imports weight history, care reminders and prescription history as history only, and upcoming appointments onto the schedule, with no reminders or calls sent for them.
Preview every import with a list of issues you can download; nothing is saved until you confirm, running the same file twice adds nothing twice, and importing again only fills in what is blank.
Bring in what each client owes from your old system as an opening balance the desk can take payment against, with no bill emailed or texted to them.
Download any report as a CSV, and invoice, credit note and payment files for QuickBooks Online or Xero.
Download the whole clinic as one ZIP: a CSV per table, a PDF record per patient with its audit trail, issued invoices, signed consents and estimates, and every uploaded file.
Send a pet's records to another clinic when the owner asks: a PetGrid clinic gets them in its inbox, any other clinic gets an email link that works for 14 days.
Receive records from other PetGrid clinics, match them to a patient and accept them onto the chart.
Let owners request a copy of their pet's record, which they can download for 30 days once your staff approve.
The AI in it
How the AI helps, and who decides
Reads your old system's PDFs, photos and spreadsheets into rows your staff review and approve before anything is saved.
What the AI does
- Reads PDFs, photos, CSV and Excel files from your old system (up to 10 files and 20 pages or photos per run) and proposes client, pet, visit and vaccine rows.
- Flags the rows it is unsure of, so your team looks at those first.
What you decide
Your staff review every row the AI proposes, fix or skip the ones it flags, and nothing is saved until they approve.
How to switch it off
The AI import only runs when you choose it; the spreadsheet import needs no AI. An admin can switch AI off for the whole practice in Settings, under AI features for this practice, which blocks it. Pets whose owners said no AI are left out of the spreadsheet rows sent.
Good to know
What it does not do (yet)
- There is no direct connection to another practice management system: imports are files, and the AVImark, Cornerstone, ezyVet and Vetspire presets are only a starting point.
- Clients, pets and inventory accept .xls, .xlsx and CSV files; visit and vaccine history are CSV only.
- The clinic export is for admins, needs a fresh identity check and is limited to three an hour.
- Accounting files are for QuickBooks Online and Xero, imported by you; there is no live sync.
Questions people ask
Can I import my data from my old veterinary software?
Yes: clients and pets from an Excel or CSV file, then visit and vaccine history from CSV, with a preview before anything is saved. Column presets for AVImark, Cornerstone, ezyVet and Vetspire are a starting point, and the AI import reads PDFs and photos for your staff to review. See switching.
Can I export all my clinic's data from PetGrid?
Yes, any time: an admin downloads the whole clinic as one ZIP after confirming their identity. It holds a CSV per table, a PDF record per patient with its audit trail, issued invoices, signed papers and every uploaded file.
How do records move to another clinic?
The owner asks for the transfer in the PetGrid app and your staff approve or decline it, with a reason the owner sees. A PetGrid clinic receives the records in its inbox; any other clinic gets an email link that works for 14 days, and each download is logged.
Can pet owners get a copy of their pet's records?
Owners ask for a copy of a pet's record in the app; once your staff approve, they can download it for 30 days and each download is logged. Owners of the free app can also download all their own data. See your data.
Does PetGrid connect directly to my old system?
No. PetGrid imports files exported from your old system; it does not connect to another practice management system directly. The named column presets were not checked against real export files, so check the preview.
