Money and stockAI

Veterinary inventory management that keeps count for you

PetGrid's veterinary inventory management keeps every drug and product with its lots and expiry dates, and takes stock off on its own as you invoice, prescribe and treat.

Every count change has a reason and a name behind it, and the AI can read a supplier invoice into your delivery for you to check.

How it works

How it works, step by step

  1. Set up your stock

Add items from a starter catalogue, a CSV template or by hand, with their reorder level and price.

  2. Receive deliveries

Receive each delivery with its lots and expiry dates, typed in or read from the supplier's invoice by the AI and checked by your team.

  3. Use it as you work

Invoices, prescriptions, hospital treatments and anesthetic records take stock off as they happen, soonest expiry first.

  4. Count and correct

Run a stock count, see the differences, and write off what has expired. Every movement keeps its reason.

What you can do

What you can do with it

  • Keep every item with its unit, on-hand count, reorder level, unit price, DIN and a controlled flag.

  • Track lots with their lot number, expiry date and unit cost, with a warning 60 days before expiry and a write-off for expired lots.

  • Receive a delivery, run a stock count that shows the differences, or import items from a CSV template.

  • Take stock off on its own when it goes on an invoice, a prescription, a hospital treatment or an anesthetic record.

  • See why every count changed: received, dispensed, adjusted or wasted, by whom, and for which patient or invoice.

  • Feed controlled items into the controlled drugs register with a running balance.

  • See low stock and expiring lots counted on the dashboard.

  • Edit an item's name, unit, reorder level and list price at any time; only a practice admin changes a price, and every change is logged.

The AI in it

How the AI helps, and who decides

Reads a supplier invoice or packing slip into delivery lines; your team checks every match before pressing Receive.

What the AI does

  • Reads a supplier invoice or packing slip (a PDF or a photo, up to 10 pages) into delivery lines.
  • Matches each line to an item in your stock, with its quantity, lot and expiry where the paper shows them.

What you decide

Your team sees every line the AI matched to your stock, changes any of them, and nothing is added until someone presses Receive.

How to switch it off

It only runs when someone asks it to read a document. An admin can switch AI off for the whole practice in Settings, under AI features for this practice, and receiving by hand works the same.

Good to know

What it does not do (yet)

  • Create purchase orders for suppliers and receive full or partial deliveries into stock with lots and expiry dates, with each item's cost following its latest delivery; emailing purchase orders to suppliers is not yet supported.
  • Clinics with more than one site can turn on stock per location, with transfers between sites; lots stay clinic-wide.
  • Low stock shows on the dashboard, and once a day clinic admins get an email listing items that dropped to or below their reorder level in the last day; there is no phone alert.

Questions people ask

Does PetGrid deduct inventory automatically?

Yes. Stock comes off on its own when an item goes on an invoice line, a prescription is dispensed, a hospital treatment is checked off or a drug is given on an anesthetic record. Each change is a movement you can trace.

Does PetGrid track lot numbers and expiry dates?

Every lot keeps its lot number, expiry date and cost. PetGrid warns 60 days before a lot expires, dispenses the soonest expiry first, and lets you write off an expired lot in one step.

Can AI read my supplier invoice?

Yes, if you want it to: take a photo or upload the PDF of the supplier invoice and the AI turns it into delivery lines matched to your stock. Your team checks and changes the lines before pressing Receive.

How are controlled drugs tracked?

Items marked controlled feed a register of every movement, received, dispensed, wasted and adjusted, with a running balance and a CSV download. See prescriptions and controlled drugs.
