AI drafted client replies: speed without losing your voice

Este artículo todavía no está traducido al español, así que se muestra en inglés.

AI drafted client replies are suggested answers to owners' messages that the AI writes and a staff member reads, edits and sends, so the desk answers faster while every word that leaves the clinic is still approved by a person. Used this way, they cut the typing on routine questions without handing judgment, medical advice or your clinic's voice over to software.

Why insist on a person pressing Send? Partly it's practical. Partly it's the rules: privacy guidance in Canada expects organizations to stay accountable for what AI produces, and in Ontario, advice given to a client belongs in the medical record.

Here's how drafts work, where they help, where they should never answer on their own, and a short set of house rules to start with.

How do AI drafted client replies work?

An owner sends a message, the AI reads it with the context it's allowed to see, and a suggested reply appears in the staff member's compose box. Nothing goes out until a person edits it, or accepts it as written, and presses Send.

Say an owner writes, "Can I move Max's appointment to Thursday?" The AI suggests a reply offering Thursday times. Your receptionist checks the schedule, tweaks the wording, and sends it. The conversation stays in the inbox, attached to the client and the pet.

The AI drafts. A person reads, decides and sends. That order never changes.

Where do reply drafts save the most time?

Drafts save the most time on routine logistics, and the least on anything that needs judgment:

Which messages should a draft never answer on its own?

Any message about a pet's health. A draft can acknowledge it and set expectations, but medical advice comes from a vet, or a technician acting under a vet's direction, not from a suggestion box. Ontario's Regulation 1093 requires a companion animal record to record the advice given to the client, so advice sent by message is part of the record and needs a clinician behind it.

Messages that hint at an emergency need a fast, human answer telling the owner where to go right now. The College of Veterinarians of Ontario's after-hours policy expects clinics to tell clients how to reach after-hours care, so keep that information current in any automated or drafted reply.

As a rule of thumb, a person should write from scratch whenever a message mentions urgent-sounding signs like trouble breathing, collapse or possible poisoning; asks about doses or stopping a medication; touches on grief, euthanasia or end of life; or sounds angry or legal in tone.

What does privacy guidance expect?

Privacy guidance expects you to limit the data, be open about AI and stay accountable. The Office of the Privacy Commissioner of Canada's principles for generative AI ask organizations to limit the personal information used to what's necessary, be open about when AI is used, check outputs for accuracy and stay accountable for the results.

For a clinic inbox, that means knowing what client and patient data the AI sees when it drafts. It means being able to switch AI off for the whole practice and honouring an owner who asks for no AI. Tell clients, in your privacy notice for example, that AI helps draft some replies and a person sends them. And treat every sent reply as the clinic's own words, because it is.

How do you keep your clinic's voice?

By editing every draft toward a few house rules your team agrees on. Drafts sound generic until your people make them sound like you:

  • Use the pet's name and the owner's name.
  • Keep routine replies short, two to four sentences.
  • Use your clinic's words for things, like checkup or wellness visit.
  • Sign with a real first name.
  • Cut the filler phrases the AI likes and your team would never say.
  • When in doubt, ask a question instead of guessing.

Once a month, read a handful of sent replies together at a team meeting. It keeps the tone consistent and catches bad habits early.

Rolling out reply drafts in four steps

Write the house rules first: tone, length, sign-off, and the message types drafts must never answer alone. Then start small, with routine messages like bookings and hours, for two weeks.

At the end of those two weeks, review a sample of sent replies as a team and note what staff changed most often. Only then widen it, adding refill and invoice questions once the team trusts its own review habit.

Keep asking staff what slows them down. If a draft needs heavy editing every single time, the house rules need updating. It's not a sign staff should start sending it as is.

AI drafted client replies in PetGrid

PetGrid's client messaging is a two-way chat inside the free PetGrid app, with photos, short videos and AI-suggested replies. Staff press Send on every reply. AI Assist, included in every plan, writes the suggestions, and an admin can switch AI off for the whole practice in settings; an owner can also ask for no AI on their pet.

Whether the chat gives any automated answers at all is your clinic's choice, set in owner app settings.

Preguntas frecuentes

What are AI drafted client replies?

They're suggested answers to owners' messages, written by AI and shown to staff. A staff member reads, edits and sends each one, so nothing goes out without a person approving it.

Can AI answer clients' medical questions?

It shouldn't decide them. A draft can acknowledge a health question and route it, but advice should come from a vet or technician, and in Ontario advice given to a client belongs in the medical record.

Do we have to tell clients we use AI for messages?

Being open about it is the recommended practice. The Office of the Privacy Commissioner's generative AI principles call for transparency when AI is used, alongside limiting personal information and checking outputs.

Will AI drafts make our replies sound robotic?

Only if they're sent unedited. Simple house rules, like using the pet's name, keeping replies short and signing with a real name, keep your clinic's voice.

Can we turn AI replies off?

In PetGrid, yes. An admin can switch AI off for the whole practice, and an owner can ask for no AI on their pet.

En resumen

AI drafted replies take the typing out of routine messages, and a person stays responsible for every word. Keep health questions with clinicians, keep after-hours information current, be upfront with clients, and edit drafts until they sound like your clinic.
