Money and stock
Veterinary invoicing and payments, at the desk and online
PetGrid's veterinary invoicing and payments software builds the invoice from the visit, takes the payment at the desk or online, and keeps every correction as its own numbered document.
Card payments run on your own Stripe account, and owners see and pay their bills in the free PetGrid app.
How it works
How it works, step by step
Build the draft
Start an invoice from the visit or for a client. Add services, drugs and third-party lines; lines linked to stock take it off as they are added.
Issue the invoice
Issuing gives it the next number, freezes the tax and shows it to the owner in their app, who is notified.
Get paid
Take the payment at the Stripe reader, on a saved card, by Pay online link, or record cash, e-transfer or cheque. Partial payments are fine.
Correct and close the day
Fix anything with a credit note or a refund entry. Every payment then shows up in the daily close and the reports.
What you can do
What you can do with it
Build an invoice by picking services and supplies from your own price list, or typing a line in, with quantities, per-line discounts and the tax treatment of each line; a supply line takes its stock off.
Find any invoice by client, pet, phone, email or invoice number, show only the unpaid ones, and see what each client owes, with their latest bills, on the client's own page.
Issue the invoice with the next number in your sequence; it is frozen from then on and the owner can see it in their app.
Record cash, card terminal, e-transfer, cheque or other payments, including partial payments.
Take cards on your own Stripe account: tap or insert at a Stripe Terminal reader (Interac included), charge a saved card, or send a Pay online link.
Let owners pay in the free PetGrid app, with one tap on a saved card, and Apple Pay or Google Pay where your Stripe account offers them.
Correct an issued invoice with a numbered credit note, or a payment with a refund entry, never by editing.
Send estimates with a low-to-high range that the owner signs in the app, then turn the approved estimate into an invoice draft.
Good to know
What it does not do (yet)
- Real money movement is locked during the free trial, and card payments need your Stripe onboarding to be complete.
- Card payments go through Stripe only; there is no other card processor.
- An Interac payment can only be refunded at the reader it was taken on.
- Deposits, pay later, auto-pay and online payments are all off until you switch them on in Settings.
Questions people ask
Can my clinic take card payments with PetGrid?
Yes. PetGrid takes card payments through Stripe on the clinic's own Stripe account: at a Stripe Terminal reader in the clinic, on a card the owner saved, or online through a Pay online link. Online payments, saved cards and the terminal are each switched on separately.
Can pet owners pay their vet bill online?
Owners pay in the free PetGrid app or through the Pay online link you send them. They see each issued invoice there, and can pay with a saved card in one tap.
How do I fix a mistake on an issued invoice?
An issued invoice is never edited. You correct it with a credit note, which is a numbered document of its own, and crediting every line voids the invoice. A payment taken by mistake is fixed with a refund entry.
Does PetGrid handle GST, HST and PST?
Tax rates are prefilled for each Canadian province and US state, and your clinic can edit them. Settings holds your tax numbers, legal name, address and payment terms. PetGrid does not give tax advice: check your rates with your accountant.
Who can give discounts or refunds?
Discounts, charging below the list price, credit notes, voids and refunds are limited to the Admin role. Everyone else can build invoices and record payments. See team and roles.
