Veterinary scheduling software that fills your day

PetGrid's veterinary scheduling software is the clinic's shared calendar: every vet's day in one view, visit types with their own length and price guide, online booking in your clients' app, a waitlist, two-way sync with Google Calendar and a read-only link for Outlook.

The desk books in a few clicks, owners book themselves when you let them, and a cancelled slot is offered to the waitlist on its own.

How it works

How it works, step by step

  1. Set up visit types and hours

In Settings, add your visit types (length, colour, buffer, price guide, who takes them) and each vet's working hours, by location.

  2. Book from the desk or online

The desk searches the owner, picks the pet, the visit type and the vet, and the visit is confirmed at once. Owners can book in their app if you turn it on.

  3. Confirm and remind

The owner gets a confirmation and, the day before, a reminder by email (and text, if they agreed), with links to confirm or change.

  4. Run the day

On the day, check the patient in, start the note and the invoice from the visit, and mark it complete. A cancellation offers the slot to the waitlist.

What you can do

What you can do with it

  • See the day with one column per vet, the week with each day's visits and their status coloured by service, or the month at a glance, filtered by location and person.

  • Book from the desk by searching the owner's name, email, phone or pet name, then pick the pet, visit type, location and vet.

  • Set visit types with their own length, colour, clean-up buffer, price guide and the staff who take them, including urgent and video visits.

  • Let owners book online in the free PetGrid app, per visit type, with requests you confirm or bookings that confirm themselves.

  • Check in, complete, mark a no-show, cancel or reschedule; the owner is emailed when a visit is cancelled or moved.

  • Keep a waitlist that offers a freed slot to up to five matching owners; the first to confirm gets it.

  • Block time for a person, a location or the whole clinic, once or every week.

  • Sync each person's visits both ways with Google Calendar, or subscribe from Outlook or any other calendar app with a read-only link.

The AI in it

How the AI helps, and who decides

The schedule has no AI of its own; the AI Front Desk add-on can book, move and confirm visits by phone, onto the same calendar.

What the AI does

  • With the AI Front Desk add-on, answers the phone, finds an open time and books, moves or cancels a visit for a caller it has checked.
  • Makes confirmation calls the day before a visit: it says it is an AI first, and the owner presses 1 to confirm or 2 to cancel.
  • Takes a message when a caller needs something it cannot do; the message lands in your team's Chat.

What you decide

Your team decides which visit types the AI Front Desk may book or move by phone, and can switch phone booking off. Everything it books lands on the same schedule your desk sees, marked as booked by phone.

How to switch it off

Scheduling itself has no AI. The phone side is the paid AI Front Desk add-on: pause it, put it in test mode or release the line in Settings, and the schedule works exactly the same.

Good to know

What it does not do (yet)

  • The week view shows one location or all of them, like the day and month views; the day view has one column per person and the month view shows the whole month.
  • Rooms and equipment can be booked with a visit, and a room holds one visit at a time.
  • Boarding and grooming are requests your desk accepts or declines; they are not placed on the schedule.
  • Outlook and Apple Calendar can subscribe to a read-only link; two-way sync is Google Calendar only.

Questions people ask

Can pet owners book appointments online with PetGrid?

Yes, if you switch it on: owners book in the free PetGrid app, for the visit types you mark as bookable online, at the locations taking bookings and inside their opening hours. A visit can arrive as a request your team confirms, or confirm itself, set per visit type.

Does PetGrid sync with Google Calendar or Outlook?

PetGrid syncs each staff member's visits both ways with Google Calendar: move the event there and the visit moves in PetGrid, though deleting it there does not cancel the visit. Outlook, Apple Calendar and other apps can subscribe to a read-only link instead.

How does the waitlist fill a cancelled appointment?

When a visit is cancelled, the waitlist offers the slot by email or text to up to five owners whose wishes match. The offer lasts four hours and the first owner to confirm gets the visit.

Does PetGrid send appointment reminders?

Owners get an email the day before their visit, with Confirm and Change links if you turn them on, and a text too when texts are on and the owner agreed. With the AI Front Desk add-on, PetGrid can also call the day before. See reminders.

Can I schedule video visits?

Yes. A video visit uses a link you paste, your clinic's default link, or a room PetGrid makes for it, and the owner accepts a telemedicine consent first. Owners join from the owner app, with the button available 15 minutes before the visit. Staff see whether the owner accepted the video visit terms. Calls open in a new tab, and PetGrid does not record video visits.
